Privacy policy

What we collect

• Account information: your username, email address, profile image, linked account identifiers and the authentication information needed to secure your account.
• Discord information: linked Discord identity, participant identifiers and display names, server and channel identifiers, commands, and recording-consent choices.
• Adventure content: live or imported audio, transcripts, campaign documents and notes, Cast and Lore, reference images, questions, generated text and artwork, and comic books.
• Technical information: sign-in and session metadata, operational errors, resource use and AI usage/cost records needed to run and secure the service.

We receive information directly from you, from Discord when you use the integration, and from group members who supply campaign material. Please share only material you have permission to provide.

Why we use it

We use this information to manage accounts and campaign access, process sessions, answer campaign questions, generate illustrations and comics, deliver requested exports and email, prevent abuse and diagnose technical problems.

Where data-protection law requires a legal basis, account and requested service processing supports our agreement with you; individual live voice processing uses your consent; security and reliability support our legitimate interests; and legally required records support our legal obligations. You can withdraw voice consent at any time.

We do not sell personal information, use campaign content for advertising, or train our own AI models on your content. We do not use automated decisions to determine legal or similarly significant outcomes about you.

Your voice and recordings

Each speaker must personally consent before PanelMancer records or transcribes their live Discord voice. A server owner or Game Master cannot consent for another speaker. Use /panelmancer consent to grant or withdraw consent. Consent ends when its session or voice attachment ends.

Live audio is transient by default. Saving a recording requires an explicit session setting. Withdrawing consent stops further voice processing; it does not automatically erase material already saved or copies already shared. Contact us for help with a request concerning existing material.

AI and service providers

The current beta transcribes audio locally using Whisper. OpenAI processes relevant text, prompts and reference images for the text and image features you request. We send the context needed for that task, rather than providing general access to your account or campaign.

OpenAI’s API data controls govern its processing and retention. Its API does not use submitted data to train models by default; we do not promise zero provider retention. See OpenAI’s data controls.

Discord processes information under its own privacy policy. Our service infrastructure and email delivery process information necessary to operate PanelMancer. The current beta runs in the United States. We will update this notice before introducing materially different providers or data uses.

Who can see your adventures

Campaign permissions control access to campaign content. Private notes and restricted conversations have their own access boundaries. A campaign’s published-book library is invite-only unless an authorized person makes it public.

Content posted to Discord, downloaded or otherwise shared can be copied by its recipients. Changing permissions cannot recall copies already delivered. During beta, authorized platform administrators can access campaign content and operational details to support and diagnose the service.

We may disclose information where necessary to comply with law, protect people or the service, or respond to a valid legal request.

How long we keep information

We keep account information while your account exists. Saved campaign content remains while the campaign or content exists, until it is deleted through the applicable controls. Temporary audio and processing files are removed when processing and file-custody checks permit. Operational records are kept for service operation, troubleshooting, security and required accounting; they are not a public activity history.

Disabling access preserves saved content. Deleting your account does not give you the right to erase another person’s campaign. Where deleting an owned campaign is part of account closure, its content is removed for all members after explicit confirmation. Exports and copies held by other people are outside our deletion controls. We retain information when necessary to meet legal obligations or resolve disputes.

Your choices and requests

You can update account details, unlink Discord and manage available security settings in your account. Use Data & Privacy to review your controls. Campaign exports and content-management permissions remain separate from personal-data requests.

Contact privacy@panelmancer.com to request access, correction, deletion, restriction, portability, or to object to processing concerning you. Available rights depend on applicable law. We verify identity before releasing or changing personal information, protect other people’s information, and respond within the applicable legal period. You may complain to your local data-protection authority where that right applies.

Cookies and browser choices

Essential cookies and browser storage support security, sign-in and interface preferences. Optional analytics remain off unless you allow them. The current beta has no advertising or optional analytics cookies. Review your choice at any time through Cookie choices in the footer or Data & Privacy. See our cookie policy for details.

We do not track you across third-party websites for advertising. Because there is no sale or advertising-related sharing to opt out of, no such processing occurs regardless of a browser’s Do Not Track or Global Privacy Control setting.

Adults-only beta and policy updates

The beta is for people aged 18 and older. Do not create an account or submit a minor’s personal information to the beta. Contact us if you believe a minor’s information has been provided.

We update the date above when this policy changes. We will notify account holders by email or an in-app notice before a material change to how we use their information takes effect.
